Step 1: Obtain QuickBooks Desktop

  1. If you haven't already, install QuickBooks Desktop on your computer.

  2. Launch the desktop version of QuickBooks.

  3. Go to File, then select Close Company. Keep QuickBooks Desktop open for the subsequent stages.

  4. (Note: Only data from QuickBooks Desktop for Windows can be transferred. If needed for QuickBooks for Mac, it can be converted after moving to Windows.)

Step 2: Download the Migration Tool and Log Into QuickBooks Online

  1. Using a supported browser, log into the QuickBooks Online account you intend to convert. Provide your Intuit Account login credentials.

  2. Modify the URL by replacing anything after /app/ with exportqbodatatoqbdt. For instance, the URL should be: https://app.qbo.intuit.com/app/exportqbodatatoqbdt. Press Enter. Note: Links to other assistance tasks won't be functional during this process.

  3. Review the Export Overview that appears. If desired, print it. Click "Get Started."

  4. Select "Download utility" to download the QuickBooks Desktop migration tool.

  5. After downloading the utility, run it and select Next for installation.

  6. Accept the conditions of the licensing agreement and click Next.

  7. Choose "Complete" as the setup type, then click Next.

  8. Finally, click Install, then Finish.

Step 3: Prepare File Export and Select QBOnline Data for Export

  1. Return to QuickBooks Online and ensure you're still on Step 1: Prepare for the export window. Proceed by selecting Continue.

  2. Decide on the data you wish to export. Options include transferring all data with transactions or solely lists and balances. Click Continue.

  3. To understand the limitations affecting data conversion for QuickBooks Desktop, select Learn about the constraints of converting data, then continue.

  4. Enter the recipient's name and email address for the migration confirmation email, then continue.

  5. Select Close to return to your QBO file. Await the confirmation email, which may take some time based on the data being migrated.

  6. Return to QuickBooks Online's export screen by following the instructions from Step 2 and selecting Get Started.

  7. Continue from the Prepare to Export page.

  8. Repeat the data selection process and click Continue on the Choose your data screen.

  9. On the Exporting from QuickBooks Online page, a notification will indicate an existing file for download. To proceed, select Continue to Download.

  10. Click Download QBXML file. If prompted to save the file, proceed and select a convenient location, such as your desktop.

  11. Ensure you're on the No Company Open screen in QuickBooks Desktop.

  12. Repeat the earlier steps in Step 2 to return to the export screen in QuickBooks Online. Then, select Get Started.

  13. Select Continue on the Prepare to Export page. If a company is open, navigate to File and choose Close company. Compare reports before and after export for data accuracy.

Step 4: Initiate the Migration Program for Quickbooks Desktop

  1. Confirm that the No Company Open screen is visible when accessing QuickBooks Desktop.

  2. Upon downloading the QuickBooks Desktop migration tool program in step 2, proceed to launch it.

  3. Once opened, click Import and provide or navigate to the path of the downloaded QBXML file.

  4. You have the option to name and specify the location for your new QuickBooks Desktop file.

  5. Locate the Application Certificate for QuickBooks. If QuickBooks Desktop is running in the background, it may be obscured by other screens. Select the read/modify privileges and determine whether to grant access to personal data. Proceed by clicking Continue and Done on the confirmation screen.

  6. After successfully importing your data, click Done. Note: This process may take some time to complete. Even if it appears stuck, it doesn't necessarily mean the export has failed. The progress bar will resume movement within a few minutes.

  7. If the status bar remains unchanged

  8. Once again, search for an Application Certificate in QuickBooks Desktop.

  9. To access QuickBooks, click the desktop icon in the Windows Taskbar. You'll find the Application Certificate there.

  10. Click Yes at each request on the Application Certificate. Choose Continue and Done on the confirmation page.

Step 5: Verify Proper Data Exportation

  1. Utilize the Profit and Loss report to ensure alignment of your books post-export. Generate this report in QuickBooks Desktop and compare it with the corresponding report in QuickBooks Online.

Note: For accurate comparison, run reports on an accrual basis.
